1. Information we collect
When you create an account, we collect your name, email address, and password. When you upload documents, those files are stored securely and associated with your organization. When recipients sign a document, we record their name, email, IP address, browser user-agent, and a server-side timestamp.
We also collect limited technical information from account holders and from visitors to our website, including approximate location (country, region, and city derived from the IP address) and browser user-agent. For website analytics and account activity, IP addresses are anonymized before storage: they are truncated (the host portion is removed) and stored only as a one-way hash, so the original address cannot be recovered. Raw IP addresses are retained only as part of the signing audit trail described above.
2. How we use your information
We use your information to provide the Llamasign service: authenticating your account, storing and delivering documents for signing, sending email notifications and reminders, processing payments, and maintaining audit logs of signing activity. We use anonymized location and activity data to understand where our users and visitors come from, measure how our website performs, and improve the product.
3. Analytics and cookies
We use privacy-friendly, cookieless website analytics (Plausible Analytics) to measure aggregate traffic, referral sources, and engagement. It does not use cookies or collect personally identifiable information and does not track you across sites. On our website, analytics and visit logging run only after you accept our consent banner. You can decline without losing access to the site.
4. Data storage and security
Documents and data are stored on secure cloud infrastructure. File access is restricted to time-limited signed URLs. Signing links use cryptographic tokens. All data is isolated at the organization level, meaning no other organization can access your documents or records. Audit logs are write-only and cannot be modified or deleted.
5. Third-party services
We use third-party services for cloud infrastructure, payment processing, email delivery, and website analytics (Plausible Analytics). Each service processes data according to their own privacy policies. For a full list of sub-processors, contact us at support@llamasign.com.
6. Data retention
Your documents and signing records are retained for as long as your account is active. If you delete your account, contact us at support@llamasign.com to request data deletion.
